What We Collect

We may collect the following information:

Order Details: Your name, email address, billing address, delivery address, order number, products ordered, and order history.

When you place an order, we also keep a short record of how you reached the site, such as the campaign name on the link and an advertising click identifier where the link included one. We keep this with the order so we can see which visits lead to sales, including if you turn optional analytics off. We do not send that sale to an advertising platform.

Personalisation Details: The information you enter to create your print, such as name, date of birth, time of birth, weight, place of birth, colour selection, size, frame choice, and other design choices.

Payment Information: Payments are handled securely by Stripe. We do not store your full card details.

Customer Support Information: Any information you provide when contacting us, including emails, order queries, photos of damaged items, and complaint details.

Essential Technical Data: Information needed to operate the website, checkout, payments, security, fraud prevention, error monitoring, and order process. This may include technical information such as browser and device details, page URL, error details, and IP address where needed for security or site reliability.

Anonymous Statistical Analytics: We may collect limited anonymous information about how visitors use our website, such as pages viewed, design steps completed, checkout progress, device type, browser type, referral source, and basic funnel events. This is used only to understand site usage and improve the website and checkout. It is not used for advertising, cross-site tracking, personal profiling, or identifying you across days.

Cookies and Tracking Data: We use essential cookies and similar technologies for site functionality, checkout, security, and remembering your privacy choices. Optional analytics or marketing tools are used only in line with your Cookie Settings.

How We Use Your Data

We use your data to:

Our Lawful Basis for Using Your Data

We use your personal data under the following lawful bases:

Contract: To process your order, create your personalised print, arrange delivery, and provide customer support.

Legal Obligation: To keep accounting records, tax records, and other records required by law.

Legitimate Interests: To run and improve our business, prevent fraud, respond to customer queries, improve our website, maintain site security, monitor technical performance, and keep basic business records, provided your rights do not override those interests.

Consent: For optional analytics or marketing tools where consent is required, advertising cookies, and marketing emails where you have opted in.

You can withdraw consent or change your choices at any time by using the “Cookie settings” link in the footer or by unsubscribing from marketing emails.

Who We Share Your Data With

We do not sell your personal data.

We only share your data where needed to run the business, fulfil your order, improve our website, or comply with the law. This may include:

We only share the information needed for the relevant purpose.

We are not responsible for the privacy practices, security, or content of third-party websites or services that we do not own or control. Where we share personal data with service providers to fulfil your order or operate our website, we take reasonable steps to ensure they process it securely and only for the services they provide to us.

Personalisation Data and Baby Details

When you personalise a poster, we temporarily store the details you enter, such as names, date of birth, time of birth, weight, hospital and other information you choose to include.

If you place an order, we use those details to create your finished poster. Once the order goes into production, we delete the separate personalisation fields used to create it.

We keep an image of the finished poster for up to 60 days after it is created so that we can fulfil your order and help with any quality, delivery or support issues. Because this is an image of the poster you ordered, it will still show the personalisation printed on the poster, such as the baby's name and date of birth. We then delete this image automatically.

If you personalise a poster but do not complete an order, there is no finished poster image to retain. Any saved personalisation details are automatically deleted within 30 days.

We may keep relevant information for longer where reasonably necessary to resolve a dispute or complaint, deal with fraud or a chargeback, or comply with a legal obligation.

Retention

Personalisation is deleted in two stages:

Information may be retained for longer where required for a dispute, complaint, fraud investigation, chargeback or legal obligation.

Basic order and transaction data, such as name, order date, items ordered, delivery details, and amount paid, may be retained for up to 7 years for tax, accounting, legal, and business record purposes.

Payment and order records held by Stripe may also be subject to their own legal and accounting retention requirements.

Customer support emails may be retained for as long as reasonably needed to resolve the issue and maintain appropriate business records.

We keep backups of our order records for the same period as those records, so we can restore them if our systems fail. We do not keep long-term backups of the details printed on your poster (such as the baby's name, date of birth, and so on) or of the finished poster image. Those are deleted on the shorter timescales above. Technical logs may be kept only for a short period.

International Transfers

Some of our service providers may process personal data outside the UK. Where this happens, we rely on appropriate safeguards, such as adequacy regulations, standard contractual clauses, the UK International Data Transfer Agreement, or other legally recognised transfer mechanisms.

Cookies and Analytics

We use cookies and similar technologies to operate the website, remember privacy choices, keep checkout working, protect the site, and understand how visitors use our website.

Essential cookies and similar technologies are required for the website, checkout, security, payment flow, order process, and shopping experience to work.

We also use essential site reliability and error-monitoring tools, including Sentry, to detect crashes, diagnose technical issues, protect the website, and keep checkout working. These tools may process limited technical information such as browser and device details, page URL, error details, and IP address. We do not use this information for advertising.

We use limited anonymous statistical analytics to understand basic site usage and improve the website and checkout. This may include cookieless analytics provided by PostHog. This analytics is anonymous and aggregated, is not used for advertising, does not use advertising cookies, does not involve cross-site tracking, and is not used to build personal profiles. Where technical information such as IP address or user-agent is briefly processed to create anonymous daily statistics, it is not stored by us as part of your analytics profile and is not used to identify you across days.

You can turn off anonymous statistical analytics at any time in Cookie Settings. If you turn it off, PostHog and anonymous funnel analytics will not run for you. Essential order, payment, fulfilment, accounting, support, security, and site-reliability records will still operate where needed.

Optional analytics and marketing tools are used only where enabled in your Cookie settings. We do not use advertising cookies, retargeting pixels, or ad-platform conversion tracking unless you have consented where required.

We use a small privacy preference record on your device to remember your Cookie Settings. This is used only to remember your choices.

Marketing

We may send marketing emails only where you have opted in or where the law allows us to contact you about similar products. You can unsubscribe at any time using the unsubscribe link in our emails or by contacting privacy@dayoneprintco.com.

Security

We use reasonable technical and organisational measures to protect personal data, including restricted access, private storage, secure payment processing, and controlled access to production systems. No system is completely secure, but we take appropriate steps to reduce the risk of unauthorised access, loss, misuse, or disclosure.

Your Rights

Under UK GDPR, you may have the right to:

These rights are not absolute and may depend on the type of data and why we are using it.

To exercise your rights, email privacy@dayoneprintco.com.

You also have the right to complain to the Information Commissioner’s Office if you are unhappy with how we handle your data. Visit ico.org.uk.

We may update this Privacy Policy from time to time. The latest version will always be available on our website.
